We love automation in theory… But let’s be real: when it comes to welcoming a new client, most of us end up panic pausing automations to customize that “one email” anyway.

That’s why we recommend creating a simple, human, reusable email template you can send manually — no automation setup required — that guides your client through everything they need to do to get started with you.

It feels personal. It saves time. And it still gets the job done beautifully.

Step 1: Create Your Email Template

You can do this right inside your WillowSpace Email Templates area. Just label it something like:

Here’s a ready-to-use example you can copy and customize:

Subject: Welcome! Here's what happens next 🌿

Body:

Hi [Client First Name],

I’m so excited to be working with you! To make things super smooth, here’s everything you need to do to get started, all in one place.

  1. Review your proposal:
    You’ll see all the details and options laid out clearly.

  2. Accept your proposal
    Click "Accept" at the bottom of the proposal to lock it in.

  3. Review & sign your contract:
    Once the proposal is accepted, your contract is ready to go.

  4. Pay your first invoice:
    You can pay securely online.

  5. Access your client portal anytime:
    Everything lives here — including documents, invoices, and messages.

Once this template is saved in your Email Templates, you can send it to any new client manually — it only takes a minute, and it’s way easier than constantly editing automations.
